ITServe Synergy Conference 2023 Conference Policies, Registration Attendee Terms and Conditions
- Registration Confirmation: Your registration for ITServe Synergy Conference 2023 is considered confirmed once the registration process is completed, and payment, if applicable, has been received.
- Payment: Conference registration fees must be paid according to the specified deadlines and methods provided. Failure to submit payment within the given timeframe may result in the cancellation of your registration.
- Cancellation and Refunds: Requests for cancellation and refund of registration fees must be submitted in writing by the specified deadline. Refunds, if applicable, will be subject to the terms and conditions outlined in the conference refund policy.
- Refund Deadline: To request a cancellation and refund for the ITServe Synergy Conference, participants must submit a written request before the designated deadline, which is 60 days prior to the conference dates. Refund requests received by August 25th, 2023, will be eligible for a full refund, with a processing fee of $50 deducted from the refund amount.
- Lost Badge Fee Clause: In the event that a participant misplaces or loses their conference badge during the ITServe Synergy Conference, a replacement fee will be applicable. The fee for a lost badge is $250. Participants are responsible for promptly notifying the conference organizers regarding the lost badge and arranging for a replacement. The replacement badge will be issued upon payment of the applicable fee.
- Substitutions: If you are unable to attend the conference, you may request a substitution by providing written notice in advance. Please note that substitutions are subject to approval by the conference organizers.
- Attendee Conduct: All attendees are expected to conduct themselves professionally and adhere to the conference’s code of conduct, promoting inclusivity, respect, and a harassment-free environment.
- Photography and Recording: By attending ITServe Synergy Conference 2023, you consent to being photographed, filmed, or recorded during conference sessions and activities. The conference organizers may use these materials for promotional purposes.
- Speaker Disclaimer: The sponsoring organization and event planners of ITServe Synergy Conference shall not be held responsible for the opinions or views expressed by any speaker. Each speaker bears complete responsibility for their own statements and perspectives. Likewise, the sponsoring organization and planners disclaim any liability for written materials distributed by conference participants.
- Product Disclaimer: The sponsoring organization and planners of ITServe Synergy Conference shall not be held liable for any products or services offered by sponsors. The organization and planners do not assume responsibility for the quality, performance, or any issues arising from the use of sponsor products or services. Participants are solely responsible for any transactions or interactions they have with sponsors during the conference.
Hotel Room Reservation:
ITServe provides hotel room accommodations as part of the package for Elite members, Platinum members, sponsors, and speakers. Attendees in these categories must adhere to the following rules to ensure compliance with hotel regulations and avoid any illegal activities:
- Follow the hotel’s check-in and check-out times.
- Respect the maximum occupancy limit set by the hotel for each room.
- Comply with all hotel policies and guidelines during your stay.
- Refrain from engaging in any illegal activities within the hotel premises.
Roles and Responsibilities:
Elite members, Platinum members, sponsors, and speakers receiving hotel room accommodations are responsible for:
- Comply with all hotel policies and guidelines during your stay.
- Utilizing the provided rooms responsibly and for conference-related purposes only.
- Ensuring the safety and security of the hotel room.
- Complying with all applicable laws and regulations.
- Reporting any concerns or issues related to their hotel room to the conference organizers promptly.
- Refrain from engaging in any illegal activities within the hotel premises.
Liquor Consumption:
- Personal Responsibility: Attendees are solely responsible for their decisions regarding the consumption of alcoholic beverages during the conference.
- Legal Drinking Age: It is expected that all attendees comply with the legal drinking age requirements of the jurisdiction where the conference takes place.
- Drink Responsibly: Attendees should exercise moderation and consume alcoholic beverages responsibly, taking into consideration their own limits and well-being.
- Liability Release: By participating in the conference, attendees release the conference organizers from any liability related to the consumption of alcoholic beverages and any consequences arising from it.
Gambling:
- Individual Choice: Participation in gambling activities is entirely optional and at the discretion of the attendees.
- Legal Compliance: Attendees must comply with the applicable laws and regulations governing gambling activities in the jurisdiction where the conference takes place.
- Personal Risk: Engaging in gambling activities is done at the individual’s own risk, and any losses incurred are the sole responsibility of the participant.
- Self-Control: Attendees are encouraged to exercise self-control and gamble within their means to ensure a positive and enjoyable conference experience.
Liability:
The conference organizers, hotel, and venue will not be held liable for any loss, damage, injury, or expenses incurred by attendees related to hotel room reservations or accommodations. Attendees are personally responsible for their actions and conduct during their stay at the hotel.
Governing Law:
These terms and conditions shall be governed by and construed in accordance with the laws of the jurisdiction in which ITServe Synergy Conference 2023 takes place.
